Monday, October 22: Action Room & Drag Ball Preparation
Flyering key locations?
Dist202 visit (Raina) Neither of the youth from Dist202 or Alex have gotten back to Raina about setting up a visit for us on Monday, the 22nd. Spoke with the interim director who was really excited about making connections with other programs. Curfew hasn’t been a concern. Youth bus tickets… like SMYRC, they have them available for homeless youth, but they don’t really have money or room in their budget to transfer them. They can set up a table at the event and provide bus tickets to youth at their table. If Raina hasn’t heard from the 2 youth he suggested by the end of the week, she’ll call him back.

About the drag number categories… it might be too difficult to fit numbers into more specific categories than “smoke-free.” Also it might steal their thunder of coming up with creative names / numbers.

Runway categories… represent / make costume tobacco prevention.

Category for Fierce & Fabulous.
Money prizes are for the most tobacco prevention awesome one.

Contestants are encouraged to develop performances with tobacco prevention message themes, including:

« the dangers of secondhand smoke.

Chico will talk to Antonio tomorrow and finalize the Runway categories.

Trophies: There won’t be trophies, but Susan’s still working on a couple of ideas. She’s getting one for each category. Maybe a lamp from IKEA or a plaque style frame. Maybe digital or poloroid camera photos.
Could we also contribute gift bag items?

E talked to the steering committee about having goodie bags for performers at about $15 each, maybe including a $5 Starbucks card. They okayed this & want us to send information about how much that would cost. And needing volunteers for the ball & folks to bring donation items. Susan: conference bags could be used for the bag.

We can all chip in little things like stickers & temporary tattoos from our programs.

Drag Free Drag Show in Colorado

Rainbow Alley Drag Free Drag Show:

At our LGBTQ youth drop-in center, Rainbow Alley, in Denver, Colorado we hold once a month drag free drag shows where participants (performers and audience members) voluntarily sign a smoke-free pledge to abstain from tobacco for the duration of the night. At the event, prevention and cessation materials are distributed and a group level intervention or health message is presented by a trained youth facilitator. At the end of the drag show, prizes are awarded to best drag performance and a drawing is held where the pledges are put into a jar and one is drawn out for a prize. It is usually a great success and we have an average of 20-30 youth who sign the pledge. This is one way we are working to cut back the high smoking rates in our community!

Susan: It looks very cool. I like playing the music. I’m excited about youtube. Addition. Not real thrilled w/ “Kicking Ash & Taking Names” as the name. Like the badvertising… something more positive and less negative. Also, age says 38… might be discouraging to youth, esp if they have a filter.

Name suggestions…

Nic will work on a design.

V. Ball Planning:

a. Categories

R.E. hasn’t gotten much feedback on the categories.

Gustavo… we should look at folks who have status in Minneapolis who might be interested in participating & get their feedback. What are the houses there already doing? Has been sending emails to community & not getting any response.

Susan: Antonio works with one person who does HIV prevention through the ball communities.

R.E. Not sure how to engage the communities there if we don’t already have the contacts.

Susan: Go through Antonio & his friend.

Gustavo: Create a mini-focus group sheet with the categories & space for suggestions to get feedback. Will create that sheet.

Talia: Search on MySpace for profiles, to network that way?

Gustavo was doing this already by doing a gay search by zipcode, but haven’t really gotten a response and haven’t found houses on myspace. Is there a list of the houses?? Try to get people to respond who don’t know us that it’s a legit show.

R.E. Any contacts in your own town?

Gustavo: has been working w/ some of the queens he knows. Or could search the gay bars and ask the management. Did someone create a paragraph description of the ball and why people should participate, why it’s important?

Susan: Colorado once a month drag free drag show.

Shana will write something up really quickly & send it.

Gustavo: Start creating the buzz on Minneapolis MySpace pages.

Chico: www.walk4mewednesdays.net is a site where drag houses register. Click shade board, then ballroom forum. Gustavo will check that out and ask Nic what his timeline will be.

b. Logistics: Tuesday, 8-11pm InterMedia Arts

Update from Antonio: Space reserved. Cost = $450 (more than expected).

NAME suggestions:

Transformations 2007

Shana: Colorado… different theme each month with a related name, signing a pledge to be tobacco free.

Transformations 2007: Drag-free Drag Ball

c. Budget update

Sponsorship from Legacy? – Gustavo: will have the general funds for the Summit, but nothing additional at the moment.
Funding committee update.
Susan: Logo is giving the Summit $3000.

What should we do about prize money & prizes?

$50, $100, $150?

Susan: Yes, there will be prizes. We’re not sure how much. Working w/ friend to have creative trophies – like a glass paperweight.

Chico: trophies can be what you want them to be.

Scholarship deadline for Summit is SEPTEMBER 16.

d. Flier update- E, Chico will help.

Update from Antonio:

Anyone want to work on designs & images?? Also to be used for the trophy. Nic will work on this & solicit feedback next week.

Image suggestions: no smoking, drag, overt reference to sexuality (freedom rings, rainbow, triangles / clearly LGBTQ, something that symbolizes drag: makeup, stiletto, beauty queen, shiny jewelry… but want something that appeals across gender

Word suggestions: girly font, Kristin, text = title, Tue oct 23, 7-11, InterMedia Arts, refreshments provided, novice to expert, prizes, first-timers encouraged.

e. Event Roles: Damon

V. Ball Planning:

a. Contacts in Minneapolis:
 DISTRICT 202.
o Ryan – in contact with Antonio.
o Shiney Shapiro, Program Manager, District 202. www.dist202.org.

 Damon Humes, House of Manolo Blahnik (Philadelphia)

 Other houses – Antonio’s meeting with a contact

 Minneapolis area drag troupes? - R.E. will ask about this. Scout just went to a performance in the LGBTQ Latino/a community in Minneapolis.

 Holly – heads the new youth tobacco free mvmt with blue cross blue shield. Will probably be heading all youth activities at the NCToH

i. Update from Antonio: Difficult to find close & cheap space for Wednesday night. Intermedia Arts was recommended (see item c below). Difficulty receiving calls or emails back from Dist202 re: youth board meetings.

ii. Working with houses / troupes / youth in Minneapolis – What’s our strategy? Who wants to be the main contact/s?

There are 13 houses in Minneapolis.

Antonio: Start with Damon, have conversations with him. See if he could put us in contact with the House of Manolo Blahnik here. Expand from there.

R.E. Maybe by September it will be easier to connect with the youth from District 202.

b. Categories (see attached document):

c. Logistics
Date: WEDNESDAY PREFERRED

Location:
• District 202? - Antonio
• Hotel?
• University?
• Other?
• Intermedia arts. http://www.intermediaarts.org/pages/join/join_rentourspace.html

i. Move event to Tuesday at InterMedia Arts?

Update from Antonio: “InterMedia Arts [see link above] is available for Tuesday. [… I]t is a very well-known, queer positive space with a decent location. CHeck it out, I love it and this was my favorite choice. The question is, can we move the day of the youth event to Tuesday, to follow the Summit? Otherwise, its been tough finding space that isn't super expensive or far away. Oh, and it would only cost $350 for 5 hours and a tech person.” (from email earlier this week)

Able to have food & beverages there. Antonio will confirm that. We do have the money – budgeted $500 for space rental.

Would have to be Tuesday night. (Monday night is the Minnesota Queers the Air reception, which will be available for everyone from the Summit to attend.)

Susan: There will be a reception for youth being put on by Tobacco Free Kids & Legacy where they would usher people over ON WEDNESDAY. At the Convention Center, which will close early & you have to be part of the NCTOH conference to go to that space.

R.E. Seems like we’d just have to heavily promote beforehand to get youth to come, need stronger networking with other folks who are organizing youth events / youth coming to the national conference.

Antonio: They have an HD/Video projection system, which we’d have access to, and their lights. We’d have the theater & the lobby spaces. Theater seats 117 and has a low stage.

What is the planned time? For the event?
Need to be out of the Hilton Space by 6pm.
8-11pm.

** We will book the Intermedia Arts Space for TUESDAY night. **

d. Budget update
i. Sponsorship from Legacy? – Gustavo

ii. Funding committee update.

Susan: We’ll know better by September 14 how much money we’ll have exactly. So far they’ve raised less than the projected amount.

Antonio: $1350: $500 space, $500 AV, $200 food, $150 miscellaneous supplies (including action room). With InterMedia Arts we get everything for $350, including space and AV.

What should we do about prize money & prizes?

Antonio is optimistic about the amount the amount that will be raised.

What are some good prize amounts?
Chico: grand prizes = money; some prizes are trophies; $50 or $200.
Antonio: trophies for smaller ones; $150 for 3 big categories was recommended.
Susan: What about $50, $100, $150?

R.E. Do you think that folks on the funding committee would be amenable to putting $500-$700 toward the prizes?

Antonio & Susan would back it up.

Susan: sometimes the bigger the prize money, the fiercer the competition. It’s a really great feeling to walk a ball and have everyone rooting for you.

Antonio: Combat that with the host & the tone we’re trying to set. The host really is the facilitator. Phrasing, messaging. Keeping it fun, not intimidating.

Susan: Scholarship deadline is now SEPTEMBER 16. Application on the summit website. Apply now. Will email the youth committee the form.

e. Flier update- E, Chico will help.

Antonio: Kim, Scout & Antonio talked about promo materials. They’ve talked about doing a postcard that would list all events related to the summit. Heavy on the local scene & sent to national folks & LGBT network folks.

R.E. maybe an email announcement about the ball specifically?

E – we need the specific information about the prizes and the categories.

f. Event Roles: Damon
i. emcee
ii. commentator/s
iii. judges – there should be at least one youth
iv. ??

Antonio: Website looks fantastic.

Chico: Comments on the balls. One of the founders of all of the chapters of the House of Manolo Blahnik all over the US. You have the initial house that started it & the chapter houses, and parents over the regions and parents over the chapters. He’s considered legendary b/c he’s been doing this for a long time. Has been doing a lot of HIV prevention work.

R.E. asked him to support & promote youth in some of the key roles, like emceeing & commenting, with him holding it all together. He said yes.

Antonio – we’d get a huge turn out.

Susan – we should ask him if it Tuesday or Wed would make a difference.

Antonio: Park House? A smaller space, like a mansion space. But they’re very picky and have rules that might not be friendly to youth & people of color.

Antonio will talk to Damon about the space / date.
Chico will talk to Damon about Judges.

Would it be promoted as hosted by the House of Manolo Blahnik. In Philadelphia, it wasn’t like a ball where the houses are all divided and competing.

Update from Antonio: he made a connection with someone involved in one of the local houses who had a lot of useful feedback, including: 1. it’s important to have cash prizes – this will be a good incentive for participants and it will encourage strong word of mouth promotion for the event, and 2. we should work with some of the local youth performers in organizing the event to increase our credibility within the scene. Antonio will meet further with his contact and explore the scene.

Susan: worried about offering prize-money – budgetwise and incentivewise. This may be intimidating to people who have never walked the ball. And we’d have to get judges. R.E.: What if we had an amateur component? Susan: If we didn’t have prizes for every category? R.E.: No, 1st time performer categories with similar prizes.

b. Tobacco prevention / youth marketing related categories for performances –
category suggestions from blog:

1. workshops
2. zines -
3. buttons
4. fliers
5. blogging?
6. videos?
7. letter-writing?
8. badvertising

Youth-related workshops will also be held in this room during the 2 breakout session times.

Materials needed:
• Markers
• Posterboard
• arts & crafts stuff
• Big paper to cover parts of the walls.
• Canvas to draw & write on… to hang as a backdrop for the ball.
• Button maker, button making supplies
• Pre-made buttons – as advertising for ball?

Sheryll will initiate this discussion on the blog… to add to the lists of materials needed & questions.

We need to know:
 What supplies are available in Minneapolis, either through the summit or Dist 202?

Onsite videography and/or short pieces? Where would that go afterward? Would we need consent forms? What would we do for youth under age 18? Could we send out consent forms to YOUTH under age 18 before the summit? Kristin will look around at NYAC for an example & if she can’t find one, R.E. has one at SMYRC.

E: Is there going to be youth delegating what’s going to happen or do whatever they want when they want? Will there be supervision to keep things from being destroyed. Youth booth at Pride: activities listed per day, but not set schedule. Options… what do you want to do now. R.E.: Would you be interested in providing this structure? Susan: it will be between sessions. R.E. If there are times when we can’t be there, then we can take over another space. Some things we’ll have to figure out on the spot at the time. Maybe having a quiet craft table in the big room. E is interested in sharing the responsibility of supervising the room.

Susan: There will also be a youth room at NCTOH open between sessions. We can have stuff in there W-F.

b. Workshops
• How to approach friends who smoke. (Peer to Peer Prevention & Cessation) (Hope & Colorado Youth)
• Tobacco industry marketing to LGBTQ community. (R.E. and E)

R.E. & Hope: Abstracts on the Summit website to schedule the workshops: http://www.lgbttobacco.org/updates.php?ID=27 .

NCTOH?

c. Youth Caucus? – separate time for youth only to meet.

R.E.: Take this off our agenda? Allow for youth to organize this at the event if they feel the need.

Okay’d by group. Our role during the summit to facilitate what the youth need as issues come up.

Please sign up!!

Register for NCTOH & make travel plans. Please give updates if you need funding. All Legacy youth should check in with Legacy about whether they’re receiving funding to go.

The LGBTI Summit will be free for youth under age 24 and will cost $30 for adults.

V. Ball Planning:

a. Contacts in Minneapolis:
 DISTRICT 202.
o Ryan – in contact with Antonio.
o Shiney Shapiro, Program Manager, District 202. www.dist202.org.

 Damien Hughes, House of Manolo Blahnik – Chico can contact. Will ask him to be on the next call.

 Other houses? – Chico will find out

 Minneapolis area drag troupes? - R.E. will ask about this. Scout just went to a performance in the LGBTQ Latino/a community in Minneapolis.

 Holly – heads the new youth tobacco free mvmt with blue cross blue shield. Will probably be heading all youth activities at the NCToH

b. Tobacco prevention / youth marketing related categories for performances –
category suggestions from blog:
* (tobacco-free) butchness
* smokin' hot (but not smoking)
* marlboro man realness
* kool: be true
* how to meet someone (without substances)... or best/worst pick ups
picking up without lighting up
* lipstick femme
* delicious smokefree kiss
* “no stank you” – best rejection
* “I wish I knew how to quit you” – “I wish I knew how to kiss you”??
* Equality for all / Marriage Rights / “I Do”
* “But I’m a Cheerleader”
* Other movie- or musical- related suggestions?

E & R.E. will finalize. E will put on myspace & flier.

c. Logistics
Date: WEDNESDAY PREFERRED
Is this confirmed?

Location:
• Hotel?
• Other?

District 202 has received an emergency grant & will be open until the end of the year. Antonio will meet with Dist 202 next week to see if we can have the event there.

Minimal rental for Salera is $6000, so it won’t be there.
Ballroom at another hotel might be available… Susan will ask about the Hilton & the Marriott if Dist 202 doesn’t work out. Maybe Dist202 will recommend a place.
Gustavo has been part of Legacy for a few years. Will put a buzz out about our need for space & maybe help. Maybe they can sponsor it. Susan: Legacy is already sponsoring us through time donation from Bill and money for the Summit and connections with other folks to donate. Gustavo will talk to Bill about strategies.

Does Nic have any ideas about Minneapolis?? Maybe Gary R. can get us a space at the University?

d. Budget update

e. Flier. E will draft – will include a message about how to help on the committee.

• Posterboard
• arts & crafts stuff
• Big paper to cover parts of the walls.
• Canvas to draw & write on… to hang as a backdrop for the ball.

b. Workshops
 Content Committee report back – Susan: number of breakout rooms won’t impact the youth subcommittee. We will have one room.
 2 Workshops:

R.E. & Hope should fill out the call for abstracts on the Summit website to schedule the workshops.

Update about LGBTQ youth related workshops at the NCTOH conference: There’s an hour and a half slot during the conference specifically to do a presentation or workshop on LGBTQ youth tobacco prevention. Talk to Hope if you’re interested in working on this. E: the folks should report this back for feedback to the youth subcommittee. Susan: 90 minutes is a LOT of time. Does anyone want to do a blurb about their program.
